Advisor CRM Check

Drop your CRM export here. See what is wrong with it in ten seconds.

Export your contacts from Redtail or Wealthbox as a CSV and drop the file on this page. It counts duplicate contacts, clients with no review date, junk tags, dead fields and missing basics. The file never leaves your computer.

Drop the CSV file here

or click to choose it. Nothing is uploaded. The reading happens in this browser tab.

Two ways to be sure nothing leaves your machine.

1. Run it with the wifi off.

to your desktop, turn off your wifi, open the copy, drop the file. It works the same. There is no server anywhere in that picture.

2. Export without names.

In Redtail, a custom export template lets you leave out names, emails and phones and keep status, category, source, keywords, user defined fields and the Know Your Client review fields. Every check on this page except duplicates runs on that file, and Redtail's own duplicate report already covers names. Wealthbox exports every field, so Wealthbox firms use the wifi-off road.

For your IT person

This page is one file with no outside scripts, no analytics, no cookies and no account. It is served with a Content-Security-Policy of connect-src 'none' and default-src 'none', so the browser itself refuses any request the page might try to make after it loads. Open developer tools, watch the Network tab, drop a file: nothing. Results live in the tab until you close it.

What your export shows

Which columns I read as what (fix any I got wrong)

Headers differ by firm and by export template, so this is a best guess. Change a box and the counts recompute.

The email button opens your own mail app with the counts above and nothing else. No names, no file. Edit it however you like before you send it.

Getting the export

Redtail

Contacts, select everyone, then Contact Options and Exports. The Default Settings export is enough to start. Better: build a custom export template (Manage Your Account, Custom Export Templates) and drag in Basic Information for status, category and source, Keywords, Contact UDF Fields, and the Know Your Clients box for the review fields. Leave the name, email, phone and address fields out if you would rather. That file has no client in it and still answers the question that matters most, which clients have no review cycle set.

Wealthbox

On the Contacts page, open Export in the right panel. Wealthbox emails you when the file is ready and parks it under Settings, Workspace, Export, Recent Exports.

Other CRM? If it exports contacts as a CSV, drop it. The page reads the headers it finds.

What this page cannot see

A contact export has no workflows, no activities, no notes and no list of who still has a login. Those are where the real mess usually lives: onboarding workflows still open on clients who finished in 2023, tasks assigned to someone who left, five people with full rights at a firm of four.

That part takes a person reading the setup. It is what the $299 written read is for, and it is why the counts above are a start, not the answer.

One opinion while you are here. Do not delete anything this page flags without reading it first. A tag on one contact is a junk tag until it turns out to be the one that marks your only trust client.

The written read

$299 flat

Two roads. Send me that names-free Redtail export by email, and I write the read from it: the fixes in the order I would do them, the counts behind each one, and what I would leave alone. No login, and nothing in the file names a client. Or, if you want duplicates and workflows read too, create one user for me with the narrowest rights your CRM allows and I read the setup there. Either way it arrives in writing within 7 days, you pay after, and there are no calls.

I know Redtail from the inside. Three years on its Tier 2 support team, under SEC and FINRA rules. How it goes, the vendor paper, and a sample snapshot are on the main page.

Questions you probably have

Is this really private?

Yes, and you do not have to take my word for it. Download the page, turn the wifi off, and it still runs. If you would rather not have names in the file at all, export without them. Your compliance officer decides what counts as client data at your firm, and that file makes the decision easy.

Why is it free?

Because the counts are the easy part. If they show you a mess, some of you will want it read by a person, and that is the part I charge for.

My file has odd headers.

Open the column map above the findings and tell the page which column is which. Custom export templates and firm-named fields are normal. If it still reads wrong, email me the header row only, no data, and I will look.

Worth a second set of eyes on yours?

Run the check, then email me the counts. I will reply in writing with what I would fix first, whether or not you buy the read.
